Student Handbook 2025-2026

Damage Billing Policy

In the current Residence Hall Housing Contract and Meal Plan Contact, the following is stated:

Residents will be responsible for damages to College property incurred by themselves or their guests. Damages within a reasonably defined area (e.g., room, floor, wing, hallway, building, etc.) that cannot be attributed to an individual will be charged to residents of the area on a pro rata basis as determined by the College in its sole discretion.

All residents need to be reminded, or informed more formally that non-attributable common area damages in the halls will be tracked and accumulated and a resident will be expected to pay the amount upon checking out of any residence hall at any time.

  1. Appropriate notifications will be provided from the Office of Campus Life.
  2. At predetermined times of the year, and in collaboration with Facilities, the Office of Campus Life will provide affected residents with a detailed list of damage(s) for their respective halls.  Included in the provision of information will be the amount that the residents will pay upon moving out at that snapshot in time. The rationale for this process is as follows:
  3. The expectation (or hope) is that residents will see items on the list and turn in or provide information about who may have been the cause of any specific item on the list.  This will assist in conducting follow-up investigations to ascertain responsible parties.
  4. Be motivated to take a more intentional approach to caring for the facility from a Restorative Justice perspective.
  5. Clean up, care for, or address any cleaning or damage issues within the community sooner to prevent situations becoming worse.

Student Life will work collaboratively with Student Accounts/Bursar to prepare the information for each time a resident checks out of the residence hall or at the end of each semester to include the resident’s name, ID#, amount to be billed. Student Accounts/Bursar will post the damage charges of the appropriate amounts to respective student accounts. Student Life, in cooperation with Facilities, will provide Student Accounts/Bursar with the amount per resident to be posted on the predetermined date.
