Attendance
Attendance is an essential component of the College’s performance and success. Poor attendance can have a substantial impact on the College’s operations, productivity, and efficiency, and may directly affect their learning, and their overall experience at the College. Predictable and reliable attendance in an essential function to all positions at the College.
Unscheduled absences, late arrivals, and early departures may disrupt operations, negatively affect students, and place additional burdens on other employees. Employees are responsible for maintaining regular and predictable attendance and punctuality and are expected to report to work on time and prepared to perform their duties.
Excessive unexcused absenteeism, tardiness, or failure to comply with this policy may may result in disciplinary action, up to and including termination of employment. Absences that are taken in accordance with applicable federal, state, or where applicable, local law (e.g., FMLA, PFL, PSL, etc.) will not be considered as a basis for disciplinary or other personnel action and will constitute an excused absence.
For planned absences, not covered by legally protected leave, an absence is considered excused s when all the following conditions are met:
• The employee provides sufficient notice to their supervisor at least 48 hours in advance, when predictable.
• The absence is approved in advance by the employee’s supervisor.
• The employee has sufficient accrued paid time off (PTO) to cover the absence.
An unexcused absence occurs when any of the above conditions are not met.
If an employee is unable to report to work as scheduled or will be late due to illness or an emergency, the employee must notify their supervisor no later than their scheduled start time on the day of the absence. If the employee is unable to make the call personally, they must arrange for someone else to notify the supervisor on their behalf.
Employees who are absent for three (3) or more consecutive workdays or shifts due to illness or injury may be required to provide documentation to The Office of Human Resources verifying the need for the absence and confirming the employee’s ability to return to work.
Employees are required to use available Paid Time Off (PTO) or sick time for every absence unless otherwise prohibited by law. The College will deduct time from an employee’s available PTO bank for absences unless the absence qualifies as protected leave and applicable law prohibits the use of PTO concurrently with such leave. When PTO is available, it must be used to account for missed scheduled work time to meet standard workweek requirements, The Office of Human Resources will automatically deduct hours accordingly to reach the required standard hours for the work week.
Employees are encouraged, when possible, to schedule medical and personal appointments outside of working hours. The College recognizes, however, that illnesses and emergencies may arise. In such situations, employees must follow the College’s general call-in procedures or any additional call-in procedures established by their Department and/or Division Head.
