Computers and Related Equipment Use Policy

The College provides employees with access to computers, printers, internet, phones, networks and systems, and other related equipment (“IT Resources”) to perform their job responsibilities.  This equipment is to be used for the business activities of the College only.  No one may use College computers, printers or other equipment for commercial or personal purposes which are not directly related to the College’s business and have been previously approved by the College in writing.  For example, an employee may not use College computers or equipment to manage or run a side business of their own.

Employees must maintain their computers and related equipment in good working order.  If any of your equipment needs service, repair or maintenance, notify your immediate supervisor or the IT Department as soon as possible.

Employees may not use College systems to violate any local, state, federal or international laws.  Computer games and personal software may not be installed on College owned equipment.  Only properly licensed software may be installed on College computers and equipment.  Employees are not permitted to download any software (free or otherwise) without express written permission from the head of the IT Department.

Violations of this policy may result in disciplinary action, up to and including termination.

The College reserves the right to monitor, intercept, access, and disclose any documents, files, communications, or other information created, stored, saved, downloaded, accessed, sent, received, transmitted, on or using any College IT Resources, including but not limited to computers, internet (including Wi-Fi), databases, accounts, email, phones, phone systems, printers, scanners, or any other similar resources (IT Resources), with or without notice. Employees should have no expectation of privacy while using any IT Resources. Use of IT Resources constitutes consent to the College’s monitoring, interception, access, review, and disclosure, of any and all information, documents, communications and data created, stored, saved, downloaded, accessed, sent, received, transmitted, on IT Resources or that engaged or otherwise used IT Resources.

New York Law also requires the College to provide notice of electronic monitoring. Accordingly, employees are hereby advised that any and all telephone conversations or transmissions, electronic mail or transmissions, or internet access or usage by an employee by any electronic device or system, including but not limited to the use of a computer, telephone, wire, radio or electromagnetic, photoelectronic or photo-optical systems, may be subject to monitoring at any and all times and by any lawful means.
