College Vehicles
- The authorized drivers of College vehicles are determined by the Office of Campus Safety.
- All requests for the bus must be scheduled through the Student Affairs Support Office (ext. 5425) and will require the authorization of the dean of students. Bus and van drivers are not responsible for the scheduling of bus and van runs. Please do not ask the drivers to arrange transportation for you or your group.
- Van requests by faculty or staff should be made through the campus facilities office (ext. 5206).
- Reservations must be made at least three days in advance of the intended trip.
- Fees for group transportation requests will be charged to the appropriate departmental budget.
- Consumption or transportation of alcoholic beverages on College vehicles is strictly prohibited. College vehicles cannot be used to transport students to events or establishments that are serving alcohol (i.e. wine tours, bar nights, special celebrations at restaurants/bars, etc.) even if the students are legally of age.

This includes qualified team use and academic class trips.
Bus
- All trips less than six hours = $45 per hour plus one half hour pre and post inspection.
- All trips six to 10 hours = $250 per day plus one half hour pre and post inspection
- Groups taking trips requiring an overnight stay will need to hire a private commercial carrier.
Van
- Trips less than six hours duration with a College driver = $35 per hour
- Trips less than six hours duration without a College driver = $25 per hour
- Trips more than six hours with a College driver = $140 per day
- Trips more than six hours without a College driver = $100 per day

- One flat fee of $70 per hour includes driver and gas, plus one half hour pre and post inspection
- Non-student groups include conference services, alumni, advancement, community groups, etc.
- All drivers using the vans must be approved by campus safety.

First time drivers of College-owned vehicles must be approved by campus safety. Allow five days for approval after submitting a copy of your license and the appropriate forms to the campus safety office.
In addition, drivers of the vans must complete the van test administered by campus safety. The driver of the vehicle assumes the responsibility for the safety of the vehicle’s occupants. If weather conditions are hazardous, the driver should notify the College that the return to campus may be delayed. In addition, the driver is prohibited from using alcoholic beverages or other substances which might impair driving ability prior to or during the use of the vehicle. The driver should be well rested.
Requests for use of College vehicles must be submitted to the physical plant office on the prescribed form, not less than 48 hours prior to the proposed use, and not later than 3 p.m. Wednesday for weekend use. The form must contain all necessary approvals: the sponsoring instructor’s academic division chair or vice president for academic affairs for academic use; the dean of students for use by student organizations; and the director of administrative services for all other uses. The earlier the form is received, the better the chance of a vehicle being available.
Upon receipt of an approved request form and after appropriate arrangements have been made for payment, the driver is instructed when and where to pick up the keys to the vehicle. Drivers must have a valid American driver’s license state, plus the knowledge and ability to:
- Check fluid levels (oil, transmission, engine coolant, windshield washing fluid),
- Check tire air pressure, and
- Call a repair service for flat tires.
The vehicle should be returned to the appropriate parking area on campus with the keys and mileage sheet returned to the physical plant office or to the campus safety office (after 5 p.m.) immediately upon return to campus. The vehicle should be backed into the appropriate parking spot and cleaned of all trash. Use of the vehicle is limited to the purpose, destination, and time frame for which permission was granted. The return to campus must coincide with the hour listed on the request form. If there is an unavoidable delay for any reason, the driver must call the College to inform the administrative services office or the campus safety office of their expected time of arrival. Students or organizations that violate these guidelines lose the privilege of using College vehicles for the remainder of the academic school year.
Resolution of traffic tickets is the responsibility of the driver of record of the vehicle, unless the basis for the citation is a circumstance beyond the control of the driver, e.g., inoperative tail lights. Students who are cited for reckless driving, driving while ability impaired, or driving while intoxicated and/or other serious offenses lose the privilege of using a College vehicle for the remainder of the academic school year.
