C: Group Field Period Experience

A Faculty member who is interested in sponsoring a group Field Period project will prepare a proposal for the Field Period in cooperation with the Assistant Dean of the Experiential Education Office. This proposal will consist of the following components:

1. A course syllabus consistent with the course description in the Keuka College Record for FP 302 and consisting of the following components:

a. Description of group experience in socio-cultural and/or natural environment. Answers to the following questions should be provided to students:
i. What will I be doing during this Field Period?
ii. What do I have to do in order to obtain a satisfactory grade? That is, what am I required to do during the planning, experience, and evaluation segments of this project? What are the professor's expectations of my participation?
b. Precise course objectives.
c. Description of seminar(s) to be held prior to Field Period experience and of other preparatory requirements, if any.
d. Description of the means by which students make formal commitment to participation in Field Period (e.g., make initial deposit).
e. Projected total cost to student including necessary materials or personal equipment.
f. Indication of time commitment for Field Period experience. This will usually be more concentrated than individual experiences but should be acceptably comparable to the 140-hour minimum requirement of the policy.
g. Indication that each student will develop individualized learning goals as part of the standard Field Period proposal.
h. Description of the means of evaluation subsequent to the Field Period experience.
i. A tentative itinerary of the Field Period experience.
j. A risk management plan describing potential hazards and how these will be mitigated and what kind of insurance(s) will be carried and/or required. Emergency contacts and plans will be provided.
k. Form I, requesting consideration of the group Field Period, as a special topics course, along with the course syllabus, will be submitted to the Curriculum Committee for approval. After approval, the syllabus will be forwarded to the Experiential Education Office for implementation.

2. Budget

a. Group Field Period experiences take multiple forms, including traveling overseas. In the case of overseas (or domestic) travel, the Faculty member may work with a travel agency to handle travel costs. Customarily, the travel expenses of a Faculty member who sponsors and leads a Group Field Period are covered through the travel agency, since the College does not typically cover the travel expenses of a Faculty member. This includes airfare and lodging. A Faculty member who sponsors and leads a Group Field Period, and who works with a travel agency, may not accept any further compensation or additional incentive from the travel agency beyond his/her own airfare and lodging. If any additional compensation is offered, the Faculty member must stipulate that it be placed into a fund that will benefit the students enrolled in the Group Field Period. The fund may be allocated equally to each student who has made the trip to lower the overall cost of participating in the Group Field Period, or it may be used to pay for a meal or outing for the entire group that was not part of the original budget and schedule. The Faculty member who sponsors and leads a Group Field Period must explain in writing what the additional compensation will be used for, and receive approval from the Provost and Vice President for Academic Affairs and the Director of Field Periods and Internships.
b. The budget will describe the overall costs of the trip, the costs for each participant, and any College resources which may be required.
c. The budget will be submitted to the Provost and Vice President for Academic Affairs for approval.
